In shortWe use CCTV in and around the building to keep people, especially children, and property safe. Cameras never cover changing rooms, toilets or the treatment room, and do not record sound. Recordings are kept for up to 30 days unless they are needed for an incident. You can ask for footage of yourself.
Who runs the CCTV
The CCTV at The Farm is run by Horsham Mixed Martial Arts Academy Limited (company number 11993810, registered office 2 Kings Court, Harwood Road, Horsham, West Sussex RH13 5UR), which trades as SWBJJ, The Farm, Horsham Muay Thai, K-Cal Café and Yin Yoga with Lydia. The company is the data controller for the recordings. Sonny Weston, our director, is responsible for the system and is the person to contact about it.
Why we use it
- To keep members, visitors, staff and especially children safe.
- To prevent and detect crime and anti-social behaviour, and help the police.
- To look into accidents, injuries, safeguarding concerns and complaints.
- To deal with insurance and legal claims.
Our lawful basis under UK GDPR is our legitimate interest in keeping people and property safe. Where a recording shows a possible crime, we also rely on the condition for preventing or detecting unlawful acts in the Data Protection Act 2018. We have weighed that against your privacy, and we use cameras only where they are needed for these purposes. We never use CCTV to monitor how hard people train or for marketing.
Where the cameras are
Cameras cover the entrances and the shared areas of the building, including the training areas. Signs at the entrance and in the areas covered show where CCTV is in use and who to contact.
Cameras never cover changing rooms, toilets or the treatment room. They record pictures only, not sound.
The Mat Cam
Screens inside the building may show a live view of the mats (the Mat Cam), in any class, including children’s classes, so parents and others who cannot get round the mat can watch, much as they could from the side of the mat. The live view is shown only on screens inside the building, never online or outside it, and it is not recorded. When it is switched on it may play live sound from the mats; that sound is not recorded either.
Please do not film, photograph or otherwise record the screens, including the Mat Cam. What the screens show remains the property of Horsham Mixed Martial Arts Academy Limited and is for people in the building only. Recording it, or sharing a recording, is a breach of the club rules.
How long we keep recordings
Recordings are kept for up to 30 days and then recorded over automatically. If a recording is needed for an incident, an investigation or a claim, we keep a copy of the relevant part for as long as it is needed and then delete it.
Who can see recordings
Only the director and the staff he authorises can view recordings, in private, and only for the purposes above. We share recordings only when the law allows it, for example with the police to prevent or detect crime, with the local authority for safeguarding, or with our insurers for a claim. We keep a record of every recording we share and why.
Your rights
You can ask for a copy of recordings of you. Tell Sonny Weston, at the front desk, on 01403 864444 or through our website, with the date, the approximate time and a description of yourself, so we can find you. We reply within one month. We may need to blur other people in the footage to protect their privacy.
A request is normally free. If a request is clearly unfounded or excessive, for example repeated requests for the same footage, or you ask for further copies of footage we have already given you, we may charge a reasonable fee based on our administrative costs, or refuse the request. If we do, we will tell you why within one month, and you can complain to the Information Commissioner’s Office.
You can object to our use of CCTV or ask us to delete a recording of you. We will consider every request, but we may keep recording, or keep a recording, where we need to for safety, safeguarding, security or a claim, and we will tell you why. The privacy notice explains all of your rights. If you are unhappy with how we use CCTV, please tell us first. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
Security and review
The recorder is kept secure and protected by a password, and access is limited to authorised staff. We check every year that each camera is still needed, working and correctly positioned, and review this policy at the same time.
